We have two equipment (one X-Lite & one D-Link) available to Members free of charge during these times: Monday, Wednesday and Friday, 9am - 1pm. No appointment required. Hi To All Members, MEMO re ROOM HIRE BOOKING PROCESS (One contact person only to liaise with the booking office) Please make your booking by fax, email or personally coming into the office with the below details. If you text it needs to be followed up with an email or fax as we need a copy of the correspondence of the booking to avoid confusion or misunderstandings. Bookings office will only action a booking request by email fax or personally coming into the office. Text’s get deleted and as such no record. Details Required: • Date of booking • Time of arrival and approximate time of leaving • Number of people • What is the booking for e.g party, conference, meeting • What is required for your booking e.g. bar open or closed, whiteboard, data projector etc, TAB for bar • Catering: yourself or through our office • Who the invoice gets sent to and contact details • Arrange a time and date (usually the day before) to pick up key and alarm code to the building (Please do not rely on other staff for this) • At the time of picking up the key it is suggested that if you are using laptops and internet via the data projector that you do a test run to ensure everything is working that way you can come in fresh on your booking date and know all is in order • The room you have booked MUST be left as you found it. If not you will be charged a minimum of $50.00 • Unfortunately we are needing to enforce a bond for party bookings and a bond for the alarm. You are expected to leave the booked room as you found it. If not you will be charged for the time it takes the staff to tidy and reset the room as you had found it. The alarm bond is to ensure that it is set and unset correctly. The alarm is monitored by a computer in the north shore and every time it is not turned on or off correctly it shows on the computer, they then ring me (24hours) and I have to make a decision on whether the alarm has gone off because it not set properly or if there is a burglar entering the premises. Likewise if you forget to set the alarm I have to come in to set it and that is not much fun at 1am in the morning. If security are asked to come to the ADS then there are additional costs involved. ALARM SYSTEM Important: All bookings have an alarm and key code procedure. You need to come in the day before your booking to action this. This is done by appointment. Do not rely on other staff to be responsible for your booking in regards to the key and alarm! If you want access to the building and you have booked then come and get the key and alarm code! We are hoping to double the bookings for room hire with the general public by May 2010 and triple our revenue by December of 2010. This means there will be a lot of functions happening and as such every detail of every function is important and to follow through with your responsibilities of hiring the rooms here at the ADS. What you think is a small detail like don’t worry about picking the rubbish up off the floor and shifting the tables back the cleaning staff will do it can potentially create big problems if another group is booked in at 8am the following morning.
